Fair Exhibitor Code of Conduct

As an Exhibitor, I agree to conduct ourselves with honesty, integrity, and good
sportsmanship.
I will treat all fair management, livestock, personnel, officials, judges, volunteers and
exhibitors with courtesy and respect. We will not engage in any abusive, malicious or
threatening behavior.

I will not direct criticism or interference with fair and livestock show management
personnel, fair officials, judges, volunteers, and exhibitors in conducting activities
associated with fair events.

I understand that any conduct which is contrary to the above will be brought before the
fair board for review and may result in the disqualification of individual people and
animals from the activities associated with the Armada Fair.

Minor infractions of the rules/regulations as specified within this publication will be
handled by the Superintendent of the respective department.

Major infractions are subject to disciplinary and/or legal action will be documented in
writing and submitted to the resolutions committee for review. All infractions will be
reviewed on a case by case basis. Recommendation for resolve will be made ro the
entire Armada Fair Board of Directors.

It is my responsibility as an exhibitor to read, understand and comply with all rules and
regulations listed in this fairbook.

**Please note: Any picture taken of exhibits, displays or groups of people by our
organization may be used to promote the Armada Fair.

By submitting your registration paperwork, you are agreeing to abide by these terms.

2018 ARMADA FAIR ADMISSION FEES, TICKET PRICING AND DEADLINES
Entry Fees: Stall and Pen Fees:

 $10 per person—Ages 13 & Over  $10 each-Horse Stalls
(With or without animal)  $3/head-Beef and Dairy Cattle
 $3/pen-Sheep, Goats, Swine
 $5 per person—Ages 9-12  $1.50/cage-Rabbits and Poultry
(With or without animal)
Please fill out stall/pen request form. Be sure to
 FREE—Children 8 & under include all registration information where
(With or without animal) requested.

Stall fees are only paid once if entering in both
Open Class and Youth Organizations
No limit on number of entries unless specified
within each Department. Please refer to Fair Open Class exhibitors receive 2 tickets for any
Book. non-livestock entries and 7 tickets for livestock
entries
If exhibiting in both Open Class and Youth
Organization, you must pay entry fee for each. Youth Organization Exhibitors receive an
admission armband, no tickets, even if showing in
Entry Form Deadlines: Open Class.

ARMADA FAIR - RULES & REGULATIONS
General Rules
1. The Armada Agricultural Society (AAS) is not responsible for errors or omissions in the Fair Book or ArmadaFair.org.
2. Every article or animal on the fairgrounds will be under control of the AAS Board of Directors or Superintendents.
While the Association takes precautionary measures, they are not responsible for theft, loss, injury, or damage by fire,
lightning, wind, rain, or any other agency to such animal, article, exhibition or display.
3. The AAS Board of Directors reserves the right, in case an exhibitor fails to present or maintain a creditable display, to
revoke exhibit space.
4. In no case shall the AAS, a.k.a. The Armada Fair, its management, officers or agents be held responsible for loss or
injury of character, person(s) nor article(s) while participating in or exhibiting at the Armada Fair.
5. The Armada Fair is not responsible for unclaimed articles.
6. The AAS Board of Directors reserves the final and absolute right to mind all matters, questions or differences. It further
reserves the right to amend or add to these rules, and in case of receipts of the Fair are insufficient to pay prize money
and expenses, the Association may pay prorated sums on all prize money awarded.
7. Disregard of any rule by an exhibitor can result in full or partial forfeiture of prizes and privileges.
8. The exhibitor fee allows the exhibitor to enter in as many departments that are appropriate for their age group.
9. In the event of conflict between general rules and departmental, departmental rules will apply.
10. Cars illegally parked will be towed away at owner’s expense.
11. No peddling, selling, soliciting, asking for tips, or distributing of hand bills or advertisements will be allowed in the
buildings or on the grounds unless a contract is obtained from the Concession Committee.
12. Any photograph taken during the fair of exhibits, displays, or groups of people by our organization may be used to
promote the Armada Fair.
13. Minor infractions will be handled by the Superintendent of that Department.
14. Major infractions subject to possible disciplinary and/or legal action will be documented in writing and submitted to the
resolution committee for review.

Entry Rules
1. Exhibitors and/or their designee must be present when entries are being checked in. No deliveries will be accepted.
2. The maximum entries allowed by one firm or individual in any class will be governed by that Department’s rules.
3. All rights are reserved by the AAS to reject any entry offered.
4. All entries must be made in the name of the bona fide owner(s), growers, producers, inventors, or manufacturers.
5. Exhibitors Entry tags will be ready for pickup on Monday, the first week of August. All admission tickets will be given to
exhibitor when exhibit is brought to the fair for exhibition.
6. Entries must be free of vulgarity, explicit content, or otherwise inappropriate for a family event.
7. Early removal of any exhibit prior to stated release times will result in the forfeiture of prize money and/or a year’s
suspension from the Fair.
8. Judges have authority to withhold prize money on any entry if in they believe the entry is unworthy of a premium.
9. All judges decisions are FINAL.
10. If an entry has more than one piece, you must indicate number of pieces on the entry tag.

Exhibitor Rules
1. In case of joint ownership of an entry, only one exhibitor will receive complementary exhibitor tickets.
2. An exhibitor cannot show in professional and non-professional classes in the same department.
 Professional: One who sells their goods and/or accepts money to teach.
 Non-Professional: One who does not sell/teach for profit
3. Participants are expected to display honesty, integrity, and good sportsmanship. All fair and livestock management
personnel, fair officials, judges and exhibitors will be treated with courtesy, cooperation and respect.
4. Exhibitors will not direct criticism or interference with fair and livestock show management personnel, officials,
judges, or other participants in conducting the activities associated with the event. Any false representation,
interference or ungracious conduct on the part of the exhibitor will result in forfeiture of premium and one year
suspension from exhibiting.
5. For health and safety reasons, perishables will not be released when entries are picked up.
6. After 8 PM on Tuesday after the fair unclaimed articles are considered abandoned and will be discarded after 7 days.
7. If entering more than one item in a class, you must enter each separately on the entry form or online.
8. If an entry has more than one piece, you must indicate number of pieces on your entry form.
9. By submitting an entry to the fair, the exhibitor confirms to have read, understood, and agreed to comply with all rules,
regulations and directives in the Fairbook.

ARMADA FAIR OPEN LIVESTOCK RULES

General Livestock Rules
1. Exhibitors are not to change or alter the assigned pens/stalls without written permission of the Superintendent
2. Championship and Best of Show awards are determined by judge. Exhibitors are not to enter these classes.
3. Exhibitors are responsible for proper care of their animals and cleanliness of cages AT ALL TIMES.
4. When a single firm/individual is exhibiting in any class only two total premiums will be awarded, awarding premiums by
merit of the animals shown. The number of participants to exhibit is determined by the Superintendent.
5. Forfeiture of premiums and Fair involvement are consequences of breaking any rules.
6. No livestock allowed on the fairgrounds until permitted by the Superintendent in charge.
7. Health papers must be presented to Superintendent before animal(s) may enter the fairgrounds.
8. Animals for exhibition must be free from communicable disease. Any animal showing symptoms of disease must be
removed from the fairgrounds immediately upon superintendent’s notification/approval.
9. The Board of Directors reserve the right to refuse admission of any animal(s) originating from a herd/stock with
questionable or suspicious health.
10. All breeding animals must be accompanied with certificate of registration in exhibitor’s name. Animals under one year
old must be properly identified as being eligible for registry by official identification for the breed.
11. 4-H Club and FFA members may show breeding animals or produce and agricultural exhibits in open class by
registering as such.
12. Pens and stalls will only be rented to exhibitors registered in livestock classes.
13. Any exhibitor who fails to keep his/her stalls and animals clean at may be asked by the Superintendent to remove his/
her exhibit and forfeit his/her premium.
14. Pens/Stalls must be cleaned upon departure, if not cleaned to superintendents’ satisfaction, $15.00 will be withheld
from premium check.
15. Open Class Beef Cattle, Dairy Cattle, Sheep, and Goats will arrive the Sunday before fair in the time designated by the
Department headings.Open Class Rabbits and Open Class Poultry, Geese, Ducks, Turkeys, and Bantams in place from
3:00 PM to 7:00 PM Sunday before fair.
16. No animal(s)/article(s) entered for exhibition shall be removed from the grounds until the time designated in their
department rules, without permission in writing from the Superintendent in charge and/or Executive Board. A
consequence of 1-year suspension may result.
17. Exhibitors will be permitted to bring feed and bedding in to the fairgrounds until 8 AM Management reserves the right to
refuse admission of such, if in their judgment there is an abuse of the privilege.
18. No person at any time, without permission of the management, shall lead or ride their animals from the barns to any
areas on the fairgrounds not designated for livestock.
19. All animal(s) must be presented whenever requested by the Superintendent or judge.
20. Prize money will be paid only on animals fitted for show purposes and no animal(s)/article(s) shall receive more than
one prize per class unless otherwise specified.
21. Any person using deception to enter any animal or article shall not be awarded any premium, and shall be denied the
privilege to exhibit for three years.
22. Absolutely no opened toe foot attire is allowed whenever working around livestock even if not showing.

Armada Agricultural Society Mission Statement

Our Mission is to create an environment for a yearly community reunion whereby an opportunity is
provided to celebrate achievement; to promote and provide education about agriculture, to build our youth
into productive citizens, and to offer entertainment celebrating the traditional values of the community.
We will accomplish this through prudent and fiscally responsible management practices.

Appeals and Complaints:
An exhibitor compelled to bring a complaint regarding conflict of interest of the judge, disqualification of an exhibit or exhibitor, an ex-
hibitor, group leader or superintendent’s behavior, or eligibility of an exhibit shall make a formal protest in writing to the Fair Board no
later than ten days following the end of the fair. All protests shall be referred to the Executive Board, which shall review the protest
with interested parties and give parties an opportunity to submit evidence. The party against whom the protest was filed shall have
the right to read the statement of protest. Report of findings shall be made to the Fair Board for final decision on the protest within 15
days of the original complaint. The Board shall issue an opinion within two weeks of receiving the recommendations from the Execu-
tive Board. Exhibitor may file appeal to the Department of Agriculture within 45 days of filing the initial complaint if the exhibitor is not
satisfied with the Association’s action. The Department of Agriculture shall have 60 days after receipt of any appropriately filed appeal
to investigate the complaint, and shall issue a finding of fact and notice of department action and any recommended actions for the
Association.

ADOPTED CONSTITUTION
ARTICLE I:
The name of the Association shall be known as the Armada Agricultural Society. Its object shall be to promote the
improvement of agriculture and its kindred arts throughout the country.

ARTICLE II:
Any person who has reached the age of 18 years by the date of sale may become a member of the Society by purchasing a
membership card from the Recording Secretary or Treasurer, or their appointed representative. A membership will be valid
for the present year. A membership entitles the holder to one vote at the annual meeting, the privilege of submitting your
name to the board’s Nominating Committee and the option to purchase one set of seven admission tickets at a reduced
rate. Memberships will be available to purchase until Wednesday noon of the fair week. The option to purchase admission
tickets will be available at dates and times as determined by the Board of directors. Any persons seeking a seat on the
Board of Directors must submit their name, with a short resume, to the Board’s Nominating Committee thirty (30)
days prior to the annual meeting.

ARTICLE III:
DIVISION 1. The Board of Directors shall consist of twenty-one members.
DIVISION 2. Annually seven of the twenty-one members shall be elected to serve a three year term each. The election to
be held at the annual meeting of the society on the first Monday of December at 7:00 PM The President of the Board of
Directors shall preside and declare the results of the election.
DIVISION 3. The election at the annual meeting shall be by ballot only.
DIVISION 4. Eleven members of the Board of Directors shall constitute a quorum.
DIVISION 5. In the Event a vacancy occurs on the Board of Directors, due to resignation or death, the President or
Nominating Committee may nominate a qualified individual to fill the vacated Board Seat, for the remainder of the
individual’s term-of-office, with a majority vote of the Board of Directors.
DIVISION 6. It is expected that each duly elected Board member of the Armada Agricultural Society will attend all board
meetings, the general membership meeting and complete all assigned duties. If a board member has more than four (4)
unexcused absences during said meetings in one year or fails to complete their assigned duties, the Board member may be
removed from the board by a 2/3 vote of the members of the Board of Directors present at a Board of Director’s meeting.
All board members will by duly notified in writing, of said meeting.
DIVISION 7. Any elected officer or Board of Director of the Armada Agricultural Society may be removed from office for
cause by a resolution presented in writing and a 2/3 vote of the members of the Board of Directors present at a Board of
Director’s meeting. All board members will be duly notified, with adequate in writing, of said meeting.
DIVISION 8. Any Board of Director or committee member of the Armada Agricultural Society may resign at any time by
providing written notice to the President and/or the Board of Directors. The resignation will be effective the date of receipt
or at a future date designated in the notice.

ARTICLE IV:
The Officers of the Society shall be: President, Vice President, Recording Secretary and Treasurer. An Assistant Treasurer
may be elected when deemed necessary by a majority vote of the Board of Directors.
The Officers shall be elected by the Board of Directors.
All past Presidents shall be Honorary Members.
The Society will recognize directors as Honorary Members after 20 years of serving on the board if they should quit or retire.

ARTICLE V:
DIVISION 1. Duties of the President, Vice President and Recording Secretary shall be such as usually appertain to their
respective offices, or as may be prescribed by the Board of Directors as hereinafter provided.
DIVISION 2. The Treasurer shall file with the President a surety bond in the amount of money to come into his hands, as
directed by the Board of Directors. He shall keep a correct account of all monies belonging to the Society, that may come
into his hands. He shall present a financial statement at each monthly meeting with copies going to the Recording
Secretary, President, and other board members.
DIVISION 3. The Board of Directors shall direct the money appropriations of the society and shall have entire control of its
property. They may hold an annual fair or exhibition; and shall distribute premiums for the best and meritorious animals or
articles exhibited at such fair or exhibition, and shall make all necessary rules and regulations for the government of the
same.
DIVISION 4. All bills for payment must go to the Recording Secretary and be presented to the Board of Directors at a
regular meeting and be approved by them before payment can be made. In lieu of a time element a check can be issued
for payment to save late fees and or receive a discount. All checks must have two (2) signatures to be valid, the Treasurer
and either of the following: President, Vice President, or Recording Secretary.

ARTICLE VI: Rescinded December 1988.

ARTICLE VII:All fees, salaries, wages shall be set by the Board of Directors.

ARTICLE VIII:
The constitution may be altered by a two-thirds vote of the members of the society present, provided thirty day
notices have been mailed to each member.
